Parents and caregivers play an important role in the placements process. They help confirm key details about the student and agree whether a placement can go ahead. This guide explains what parents and caregivers will be asked to do, so you can answer any questions about the placement forms.
The placements process
The placements process starts with the student. They need to find their own work experience placement. Parents and caregivers can support them with this.
Once an employer has agreed to host the student, the student records the placement on their Unifrog account using the Placements tool.
The placements forms
The Placements tool is a set of forms that help schools and colleges manage work experience. There are seven forms in total:
- Student initial form
- Employer initial form
- Parent/guardian agreement form
- School/college permission form
- Check-in form
- Employer review form
- Student reflection form
Each form is linked to the next. Once one person completes their form, the next person automatically receives an email to continue the process.
The Parent/guardian agreement form
Parents and caregivers will receive an email from noreply@unifrog.org once the employer has completed their form. This email contains a link to the Parent/guardian agreement form.
On this form, parents/caregivers will see the information the student and employer have already provided. They will be asked to:
- provide an emergency contact number
- note any additional needs the student has
- confirm who holds which responsibilities
- agree (or not) for the placement to go ahead
After completing the form, they need to mark it as finished and click ‘Update’.
What happens next
Once the Parent/guardian agreement form is submitted, the school or college gives permission. When this step is complete, the placement is ready to go ahead.
Parent accounts
If you have a parent account, which is setup through your child's school or college, you can also track the progress of any upcoming placements. You can expand the ‘upcoming placements’ section on your account homepage to see a tracker of which stage the placement is at. You can also click ‘View details’ to view more information about the placement.
If your child has provided your email address in the Student initial form, you'll be able to review the information submitted in the Student initial form and the Employer initial form. You will also be able to have access to the Parent/guardian agreement form link directly on your parent account, though you can still use the email link to access the form.
If your child did not provide your email address in the Student initial form, you will be able to see the placement's status, but you won't have access to the details that the student and employer submitted.
Whether you are the named parent or not, you will be able to view the status of the Check-in form, Employer review form and Student reflection form, but you will not be able to view the details.
