About our virtual fairs

On average our fairs are attended by 1,500 students; joining us as an exhibitor gives you the chance to share your opportunities with them, creating an average of 250 warm leads in two and a half hours. 

As an exhibitor, you’ll run a live session for students and have a virtual booth through which students can get in touch with you.

How are virtual fairs different from webinars?

You might already be familiar with Unifrog’s webinars. Unlike our webinars, virtual fairs are hosted on a platform called SpotMe (you can find out more about this below). 

In a virtual fair you can engage more actively with students than in a webinar, for example they can make contact with you by visiting your booth and asking you questions. You can also network with other employers or universities by visiting their booths.

About SpotMe, our platform for hosting virtual fairs

All Unifrog’s virtual fairs are hosted on SpotMe, our external interactive events platform that allows you to: 

• Host live sessions
• Chat with students in your virtual booths
• Have students opt to share their contact information with you so you can be in touch with them about relevant opportunities

Whether you’re exhibiting at a university fair, an apprenticeship fair, a subject discovery fair, or an international fair, the interface for navigation will be the same.

About your virtual booth

What a booth is

As an exhibitor, you’ll create a virtual booth on SpotMe to showcase your institution or company. At your booth you can: 

• Speak with students via direct message in your chat feed
• Share downloadable documents, videos, social media links, and other useful resources 

Setting up your booth

To set up your booth, six weeks before the event, you’ll receive an email from events@unifrog.org containing a unique link that will take you to your booth setup page. You won’t need a username or password at this stage. There will be several fields here for you to update.

Here’s the information for your booth that you can update yourself:

• The name of your organisation or university.
• A short description (a few sentences describing what you do, a USP, or where you’re located).
• A longer description (a number of paragraphs highlighting your opportunities, what makes you attractive to students, or any other key information you want to share).
• Your URL (this will be displayed as typed).
• Your location.
• Your contact details (don’t use personal numbers or email addresses here),
• Your social media channels (we’ll update the icons).

Here’s what we’ll update on your behalf:

• Your icon (get in touch if we haven’t got your correct logo).
• Your representatives (you can update these yourself, but let us know if you do!).
• Any videos, PDFs, documents, or external links.

A week before the event, you’ll be sent a username and password. You can use this to log in and see how your booth looks from the front end.

How to use your booth on the day of the event

You’ll receive a link to your homepage a week before the event which will give you time to become familiar with the platform and check you’re happy with the way your booth looks. You can get in touch with us to update any of the following:

• Your logo
• Videos
• PDFs or documents

You can see what your booth looks like by clicking on the ‘Universities’ or ‘Employers’ link on the menu at the top of your homepage, then finding your university or company and clicking on it.

You can also access your ‘feed’ here which is where students can get in touch with you to ask questions or make comments by clicking the ‘Chat with us banner’. You can reply using the ‘reply’ button. It’s a good idea to ‘like’ comments too to acknowledge that you’ve read them or to signal to your colleagues that you’re in the midst of replying to that comment.

Your virtual webinar session

What your virtual session will look like

You’ll share your session with another exhibitor, and you’ll each get 10 minutes to present. The session will be 20 minutes in total. After you sign up to run a session, our Events and Partnerships team will work together to allocate the session topics.

How to access your virtual webinar session

We will send you an email a week before the event that contains:

• The topic of your session
• The timings of your session
• A unique link to access the back-end of the SpotMe platform for your session

The unique link is unique to your session, not to you personally. This means that if, for any reason, you can’t make it on the day, you can share the email with a colleague who can present on your behalf. You’ll get another copy of the email the day before.

On the day, you must use the link sent in the speaker email. Do not try to access your session from the front end of SpotMe using the link you’ve been sent if you’re a booth administrator. Doing so could affect your access level, meaning you may not be able to share your screen during your presentation.

You should join your session 10-15 minutes before your start time. Your speaker link will take you to a quick check to test your microphone, speakers, and internet connectivity. Make sure that you have selected the right microphone, camera, and speakers. You can also change the way your name will be displayed to students/teachers.

Once the test is complete, you’ll meet your Unifrog host along with any other session speakers. You’ll be asked to make sure you can share your screen, and your Unifrog host will run through any troubleshooting with you if needed.

During your session, students/teachers will be able to send in questions via a Q&A function. You’ll be able to answer these verbally at the end of your session if there’s time.

You’ll also be able to watch other exhibitors’ sessions either live or on demand by going to the ‘live sessions’ area and clicking on the sessions you’re interested in. You can play on-demand sessions straight away. Live sessions will have a countdown timer to show you how long is left until they start.
